Bev Drul is a new attendee and asked:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Q.&nbsp; What do you do on an endurance Ride?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A.&nbsp; Many members shared their experiences at\nendurance rides.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Answers can be found on our Facebook\npage.&nbsp; Attending a ride to see how it is\nrun, volunteering it a good way to learn the ropes and see what the vets are\nlooking for.<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>PRESIDENT\u2019S REPORT<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Darice welcomed everyone and mentioned\nthat our first DRM competition ride is on May 4 &amp; 5, 2019.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>TREASURER\u2019S REPORT<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>$830.56 was paid to Safeguard for the\nbadges.&nbsp; Maura stated that she is not\nhappy with the service from Safeguard and she will not be using them going\nforward.<\/li><li>Board decided that all expenses should\nbe pre-approved so that we all know who has to be paid and they get paid in a\ntimely fashion.&nbsp; The expenditures are to\nbe reviewed and pre-approved at each meeting moving forward to expedite payments.<\/li><li>Ride Managers\/Day Managers will be\npaid up to $50\/day for meals for Rides.<\/li><li><strong>Additional\nSigners:&nbsp; <\/strong>The\nBy-laws state that there should be two (2) approvals, one must be the Treasurer.&nbsp; And that even though only one signature is\nrequired, the Treasurer, President, and Vice-President all have signing\nauthority.<ul><li>It was noted that vendors and\nvolunteer payments are delayed. In order to expedite payments, it was suggested\nthat cheques be assigned to Carrie (Vice-President) and Darice (President) \u2013\nSusan disagreed.<\/li><\/ul><ul><li>Susan suggested that the cheque book\naccompany the Ride Manager to the ride if\/when Treasurer is not present at the\nride.&nbsp; Other members agreed with this.\nMaura disagreed. <\/li><\/ul><ul><li>It was decided that Ride Managers, Day\nManagers, Trail Markers and Vets should be paid at the rides.<\/li><\/ul><ul><li>Maura agreed to ensure payments to RM,\nVet(s), and re-imbursements are made on the day of the ride. <\/li><\/ul><ul><li>Carrie and Darice will attend the bank\nwith the by-laws and AGM minutes to obtain signing authority<\/li><\/ul><\/li><li>Approvals of Upcoming\nExpenditures<ul><li>Vet \u2013 May 4\/5 DRM Ride at BHP &#8211; Increase equipment expense amount from $500 &#8211;\n$700.&nbsp; Motion passed.<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>MEMBERSHIP\nREPORT &amp; FEES<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>16 Family<\/li><li>14 Individual<strong><\/strong><\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>MHC REPRESENTATIVE\nREPORT<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Susan Heald provided information about one of\nthe grants offered by MHC.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>MHC has a Recreation Grant worth\n$2500.00<\/li><li>Susan suggested that we ask ourselves\na few questions when we attend rides, such as:<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">*&nbsp; \u201cWhat might improve this site?\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We should\ndiscuss the improvement suggestions that members have at the July\/August meeting\nin order to put forth a proposal to MHC as decisions for grant monies must be\nsubmitted prior to October 1.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>MHC REPORT &#8211; Tabled until next meeting.<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>FUNDRAISING COMMITTEE REPORT<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>i)&nbsp; Fundraising <\/strong>(Andy\nDunlop and Troi Anderson)<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>DRM\nTack Sale <\/strong><ul><li>Maura is running the tack sale and\nAndy is assisting this year.<\/li><\/ul><ul><li>Maura stated that there were 10 table\nspots sold.<\/li><\/ul><ul><li>Maura posted the event on Facebook.<\/li><\/ul><ul><li>Carrie will send a copy of the poster\nfile to Maura.<\/li><\/ul><ul><li>Set-up times at SEC will be the same\nas last year:&nbsp; 6-9pm on the Friday prior\nto the tack sale and vendors can start set up the day of the tack sale starting\nat 8am.<\/li><\/ul><ul><li>DRM &amp; MTRC members got together to\nmake shopping bags out of used feed bags.&nbsp;\nThe bags will be sold at the tack sale and proceeds will be split\nbetween DRM and MTRC clubs.<\/li><\/ul><ul><li>The road signs are with the joint club\nequipment location:&nbsp; Elizabeth\u2019s house.<\/li><\/ul><ul><li>Andy will make road signs for the tack\nsale using the metal realty signs.<\/li><\/ul><\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>PROMOTIONS\nCOMMITTEE REPORT<\/strong><strong>\n<\/strong>(Tammy Storie)<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Tabled until next meeting.<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>YEAR END\nAWARDS COMMITTEE REPORT <\/strong>(Darice\nWhyte, Shannon Lightfoot and Kelli Hayhurst)<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Tabled until next meeting.<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>JOINT\nEQUIPMENT COMMITTEE REPORT <\/strong>(Carrie Wilson)<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Ride Managers need to contact\nElizabeth Bima in order to access inventory.<\/li><li>Maura stated that we will need to\norder ribbons.&nbsp; Junior Category ribbons\nwill need to ordered mid-way through the season.<\/li><li>Maura will email the spreadsheet to\nCarrie.<\/li><li>Inventory has to be taken at year end.<\/li><li>Ride Cards &amp; Timer\u2019s Cards<ul><li>Maura will print out ride cards on the\nwaterproof paper that the club has left and give to Carrie.<\/li><\/ul><ul><li>Maura will send electronic copies of\nthe ride card and timer\u2019s card to Carrie.<\/li><\/ul><\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>PROCEDURES\nCOMMITTEE REPORT<\/strong> (Carrie Wilson, Trish Forde, Maura\nLeahy)<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Carrie has created a draft copy of the\nfirst Rule Book for DRM.<\/li><li>Procedures Committee will be having\ntheir first meeting next week to modify draft copy of DRM Rule Book.<\/li><li>The purpose of the DRM Rule Book is to\nprovide procedures for Ride Managers and Day Managers.&nbsp; For this season, the Rule Book will be used\nas a pilot project to test against the procedures that we currently follow\nduring the rides.&nbsp; Modifications will be\nmade to the procedures as needed.&nbsp; The\nfirst edition of the DRM Rule Book will be presented at the 2019 AGM with a\nmotion to adopt it as to tool to be used at DRM rides.<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>CLUB OPERATIONS<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>A Ride Brochure will be created which\nwill document the Fees Table<\/li><li>2019 Fees will be the same as 2018.<\/li><li>Travel Fund \u2013 tabled until next\nmeeting.<\/li><li>Championship Bid \u2013 deferred to 2020.<\/li><li>Spring Clinic \u2013 DRM to join up with MTRC\nat their clinic this spring.<\/li><li>Volunteer Recruitment \u2013 need to keep\nrecruiting volunteers.&nbsp; Carrie will also make a registration form for\nSpruce Woods ride.<\/li><li>Ride Check Lists<ul><li>Ride Sanctioning has been applied and paid for BHP and Spruce Woods\nrides.<\/li><\/ul><ul><li>BHP Ride Permit has been submitted to the Birds Hill Park Office<\/li><\/ul><ul><li>Competitors are to bring a paper copy of Coggins to the BHP ride or\nshow a copy of their Coggins report on their cell phones to the Ride\nManager.&nbsp; The Ride Manager will check off\nthat the competitors have shown their negative coggins result.&nbsp; This log can be&nbsp; passed on to future ride managers this\nseason.<\/li><\/ul><ul><li>There may be a Coggins conflict with the Driving Club as they have\nan event scheduled at the same date and time as the first DRM ride at BHP.&nbsp; Carrie reported on flagging tape recommendation made by the\nJoint Inventory Committee: As you know, the Joint Inventory Committee (representing equipment for\nboth DRM and MTRC), met to discuss inventory. One of the topics that came up\nwas the colors used for marking trails. Based on these discussions, and based\non inventory, the committee has compiled the following recommended protocol for\nthe 2019 ride season. Prepared flagging ribbons can be signed out from the\nJoint Inventory by Ride Managers and Trail Markers and are based on these\nparameters. We are hopeful that this scheme works&#8230;..but are always open to\nsuggestions. We can make adjustments as we go along. It will be up to whoever\nsigns out the equipment to return it in the same manner they receive it. <\/li><\/ol>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Loop Colors: <\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Pink\/White<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Blue\/White<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Yellow\/White<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><em>(There are\nother options for rides with more than 3 loops)<\/em><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Left Turn Markers:<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Green\/White<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Right Turn Markers:<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Red\/White<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The idea\nis NOT to use green or red as a loop color, and reserve those for marking\nturns. Thank you!<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Maura\nand Myna noted that for various reasons, their color marking scheme would be\ndifferent, however they are supplying their own ribbons and will ensure\nwhatever marking system is used, is consistent.<\/li><\/ol>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>April\n18<\/strong> \u2013 Email from Carrie: Andy has brought to my attention that MHC is charging\nus $100\/day to use the Hunter Ring. Due to the timing of this news, I don&#8217;t\nthink we are in a position to negotiate with them&#8230;.and Andy has already\ngotten them to agree to waive the $7\/rider fee for this ride. A more complete\ndiscussion including the history and how to move forward will be put on the\nagenda for the next DRM full meeting. In the meantime, in order to recoup these\ncosts, I propose that we add a $10\/rig\/night fee for camping&nbsp; and a $5\/rig\/day\nfee for parking. As much as I would love to engage in a full discussion on this\nmatter, I ask you to please just vote yes or no at this time. Both Andy and I\nhave many other tasks related to this ride that need to be completed and right\nnow we need to get the registration out. This additional fee needs to be on the\nregistration. <ul><li>After\nsome discussion and an email vote, from Carrie: Thank you for your input\neveryone. I appreciate&nbsp; the note on the history of these charges with MHC,\nMaura. Based on the original suggestion, and based on 4 votes for yes (mine\nincluded), at this time the decision is made to charge $10\/rig\/night for\novernight camping and $5\/rig\/day for parking. We can revisit this plan when\nthis ride is planned again for next year and when we have more of an\nopportunity to discuss in detail.<\/li><\/ul><\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>April 26 \u2013 Email conversation:&nbsp; Due to a delay in receiving Coggins results,\nDRM board has decided to waive the need for negative coggins results at the\nfirst ride in BHP ONLY.
