This is important as we do receive emails asking for funds. These are attempts to defraud.<\/li><li>Sales of the 50\/50 tickets were significantly less than expected. The funds were to go for many things however ended up being used to purchase picnic tables and bleachers from Pine Ridge<\/li><li>The Coaching Levy fee of $5.00. This will be discussed further at our meeting in January. Everyone is encouraged to take the free on line courses<\/li><li>Dianne has agreed to continue ending our MHC rep<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>MILEAGE AND POINTS REPORT:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Shannon has submitted the points\/mileage report (to be posted on the website)<\/li><li>Shannon has agreed to continue tracking points and mileage for 2020<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>DRM\/MTRC JOINT EQUIPMENT INVENTORY REPORT:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Elizabeth will continue to keep inventory at her place<\/li><li>Kelli proposed that all inventory is equally owned (value wise) and going forward both clubs should split (tabled to next meeting)<\/li><li>Shannon will assist equipment committee.<\/li><li>Complete inventory list attached<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>POLICY COMMITTEE REPORT:<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">DRM Rule Book<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>once the rule book is ratified at the AGM it will stand for the next year\u2019s rides.<\/li><li>Should be reviewed in fall and spring to be adjusted and ratified at annual AGM<\/li><li>Of rules conflict with AERC the more stringent rule will apply. EG AERC doesn\u2019t have a mandatory helmet requirement. We do so helmets are required at our rides.<\/li><li>A suggested word change for the Coggins requirement at meeting. Proof of a negative EIA test will be required once per calendar year or more often at the discretion of the board<\/li><li>Board can decide frequency<\/li><li>Motion was made to accept and was approved<\/li><li>Motion to accept the creation of the DRM Policy Statements as submitted was approved<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">DRM Policy Statements<br><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>See attached for proposed motion regarding Travel Fund <\/li><li>Current fund is for Canadian Championships only and after checking with contacts in the east and west there are no plans at this time to host a championships<\/li><li>Many of our members do ride in the US and want the fund to cover AERC championships wherever they are held<\/li><li>The fund will be capped as of October 31, 2019<\/li><li>Starting October 31, 2020 $1,000 will be transferred into the new fund each year unless a Canadian Championship is held<\/li><li>Maura proposed leaving the fund as is however the proposal did not receive a second.<\/li><li>Proposed Motion regarding travel fund was approved and accepted as presented<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>ELECTIONS:<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">With the assistance of Linda Cruden nominations and elections were held<br><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A) Elected to Board of Directors<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Carrie Wilson &#8211; 2 yr Term<\/li><li>Trish Forde &#8211; 2 yr Term<\/li><li>Kelli Hayhurst &#8211; 2 yr Term<\/li><li>Shannon Yaskiw &#8211; 1 yr Term<\/li><li><\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">B) Election of Directors<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>President &#8211; Darice Whyte<\/li><li>Vice President &#8211; Carrie Wilson<\/li><li>Treasurer &#8211; Kelli Hayhurst<\/li><li>Secretary &#8211; Trish Forde<\/li><li>Member at Large &#8211; Shannon Yaskiw<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>CLUB OPERATIONS:<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A) Fundraising:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Andy has agreed to manage the Tack Sale which will be at SEC in the spring<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">B) Year End Awards<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Darice will oversee the awards for 2020.<\/li><li>Once all the award costs for 2019 have been finalized a new budget for the 2020 awards will be proposed for approval by the board.<\/li><li>Motion was accepted and approved<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">C) DRM apparel<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Shannon is going to follow up on this<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">D) Communications (Facebook, Website, Email list)<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Carrie and Maura will continue to keep the pages updated<\/li><li>Darice has the email list for the membership<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">F) Meeting Schedule<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Meetings to be held every 2 months beginning in February. Next meeting is February 26th at Darice\u2019s<\/li><li><\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>RIDE OPERATIONS:<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>A. Sanctioning<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Rides will continue to be sanctioned with AERC<\/li><li>Motion was accepted and approved<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>B. Ride Fees<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>ride fees will be discussed further at the February 2020 meeting<\/li><\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>C. Ride registrar<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Create a volunteer position of ride registrar. Whereas some members had insufficient context with which to vote on the motion;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">3. Whereas it was unclear in the October 3 motion what should happen to any monies removed from the fund;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">4. Whereas the original Terms of Reference establishing the National Travel Fund specified that the funds be used for a Canadian Championship competition;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">5. Whereas the original Terms of Reference establishing the National Travel Fund did not specify a timeline for spending the fund, or what would happen if the funds were not able to be used for the stated purpose; and&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">6. Whereas the membership of DRM continues to want to be able to support members\u2019 travel to Canadian Championships as well as other major competitions;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Motion:&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I therefore move that&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">a. The National Travel Fund be capped as of October 31, 2019 (our fiscal year end) with no further funds allocated to it;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">b. An amendment to the existing Terms of Reference for the National Travel Fund established in 2006, be adopted by DRM;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">c. A New Travel Fund be established, with wider parameters allowing for DRM to support travel to other Championship events;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">d. New Terms of Reference be adopted for the New Travel Fund;&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">e.
