Treasurers Report:

          Current bank balance $13000.00, reminder Wendy journal entry for travel fund

Currently 28 members

          BHP ride net profit $582.70 still to pay AERC fees

          Tack sale profit of $1200, table sales most profit (31 tables)

          MHC coaching fees: discussion, we pay $3.00/noncoach rider

 

MHC report Christine and Kelli sharing:

          No meeting

          Discussion re ride and show entry contest

 

Fundraising Report:

          Tack sale to go forward for next year. Already have door prize (custom belt). Need better advertising, 1st hour “shock your neighbor” vender purchase only, possibly longer hours

          Discusson about bud,spud,silent auction and year end awards banquet, Andy to look into pricing

 

Year End Awards:

Promotional Items:

          Kelli brought sample shirts, V-neck tshirt most popular, to look into preorder forms

Email list:

• Christine to work with Mark to increase use of email for notification as not everyone on facebook

Website:

• Plan to archive riders/horses who have not competed in last 5 years as the list was becoming cumbersome
• Tricia and Christine to work on correcting 2022 rider/horse mileage

Facebook:

• Christine will continue to post updates on Facebook

 

Bylaw review, Policy statements, and Rule Book:

          No report

 

New business:

• Discussion on rider/horse mileage with two issues: if horse owner is a member but rider is not, does the horse accumulate mileage? (tabled to next meeting)

Ride Operations:

          Spruce woods, Christine RM, Carrie DM, volunteers good, DRM bringing cube so can have water on the trail, prizes

          Belair on Aug 19/20, still waiting on permit, no RM, Darice will TM

          Souris, Sept 2, Darice RM, Myna TM  problems with the permit, Tricia will see what she can do

          BHP Oct 7, no RM, no TM

 

          Results from BHP need to go on the webpage

          Limiting riders seems to have encouraged registrations, we should continue the late fee of $10.00, at BHP were 5 late fees of 32 horse/rider combinations, need to tell people if on the wait list will not have to pay until confirmed registration.

          Only 1 person showed for volunteer clinic, need another way to promote volunteering

          Suggestions of fewer, better rides that are the same each year (see below)

          Ribbon inventory (Tricia)

          Equipment trailer, how is sign out sheet working, spare tire still needed

          Need a way on entry form if the rider does not have AERC number to still be able to enter horse AERC number, Carrie to look into

          Still working on Gpx trail maps for each location

          Discussion about RM expense account

                   Previous $50/day to feed volunteers

                   Do we require prizes, use donated items as a draw

                   Potential for a group that wants to start an annual ride to get up to $200.00 for start up and 60% of the profits thereafter above the RM, TM and food allowances. Consider for AGM
